Data retention

Unbooked requests are retained for 90 days from form submission or the latest two-way contact, whichever is later, then deleted or anonymized unless another lawful basis applies. An incomplete booking without payment or a clinical encounter is retained for 90 days from the last activity.

Appointment, payment, medical-record, consent and rights-request evidence is retained under applicable legal duties and the clinic's separate retention schedule, with use and access restricted to what is necessary.

Rights and withdrawal

The clinic acknowledges a request within three business days. After identity verification and withdrawal, applicable service follow-up or marketing is suppressed within three business days. Deletion or anonymization is completed within 30 days, subject to lawful retention exceptions; if a request cannot be completed in full, the clinic will explain why.

Suppression or deletion covers CRM lead/contact records, pending bookings, LINE marketing or broadcast segments, marketing audience sync, operational exports and links to pseudonymous attribution. Booking, payment and medical records that must be retained by law are restricted rather than deleted.

Processors and tracking

Processor categories may include hosting, cloud, database and backup; CRM and booking; LINE and communications; payment processors and banks; approved pseudonymous analytics and tracking; and security and support, subject to data minimization, contracts or DPAs and access controls.

Analytics and marketing cookies such as Google Analytics and Meta Pixel operate only after consent. We do not send names, phone numbers, form text, health information or form answers to Meta, Google or UTM parameters.
